The Service is operated by the provider shown in your workspace / subscription records ("we", "us", "our"). If you are using the Service on behalf of a company, that company is the "Customer" and you are an authorized user of the Customer.

2. What we collect
Account and workspace information:
- Email address, password hash, and basic profile fields.
- Workspace information such as company name, contact details, and configuration.
- Authentication and security events such as login time and password change notifications.
Content you submit:
- Messages you send to bots and the bot responses.
- Knowledge content you upload or connect, such as PDFs, docs, webpages, and integrations.
Technical and usage data:
- IP address, device/browser information, and logs necessary for security and troubleshooting.
- Usage metrics such as token usage, rate limits, and errors to run the Service and enforce plan limits.
3. How we use your information
We use information to:
- Provide and operate the Service.
- Maintain security, prevent abuse, and troubleshoot incidents.
- Enforce subscription and workspace limits.
- Send essential notifications such as password reset, password changed, billing alerts, and usage alerts.
- Improve reliability and performance, using aggregated and non-identifying analytics where possible.
4. Knowledge uploads, chunking, retention, and deletion
When you upload documents or connect knowledge sources, the Service may extract text and convert it into smaller segments ("chunks") used for search and retrieval.
Original uploaded files may be deleted after processing is completed.
Processed knowledge data such as extracted text, document records, chunks, and related retrieval or indexing data may be stored in our databases so your bots can answer questions using your knowledge base.
Processed knowledge data may remain for the duration of the workspace's active service period and any applicable retention period.
If a trial workspace does not convert to a paid subscription, or if a paid workspace is canceled or remains unpaid beyond any applicable grace or access period, we may delete workspace data after the applicable retention period. This may include processed knowledge data, chat history, and related operational records.
We may send reminder emails or in-app notices before deletion.
5. Chat history retention
We may store chat history and related metadata to provide the Service, including session continuity, audit logs, customer support, and workspace experience.
Chat history retention may depend on workspace settings, service configuration, plan, operational requirements, or legal obligations.
6. Where we host and process data
The Service is hosted on Amazon Web Services (AWS). We deploy and store data in EU regions such as Frankfurt (eu-central-1) and/or Stockholm (eu-north-1), depending on your environment configuration.
7. AI processing and accuracy
The Service uses AI models to generate responses. AI output can be incorrect, incomplete, or misleading. You are responsible for reviewing AI output before relying on it.
8. Sharing and disclosure
We do not sell your data. We may share data only:
- With service providers and sub-processors needed to operate the Service.
- With the Customer's administrators and authorized users inside the same workspace.
- To comply with law, protect security, or prevent fraud or abuse.
- In connection with a corporate transaction, with appropriate safeguards.
9. Third-party integrations
If you connect third-party services such as WhatsApp, Telegram, Calendly, or similar providers, certain data may be processed through those services as part of the integration flow.
10. Security
We apply administrative, technical, and organizational measures designed to protect data. No system is 100% secure.
11. Your rights (GDPR)
If applicable, you may have rights to access, correct, delete, restrict, or export your personal data, and to object to certain processing.
12. Changes to this policy
We may update this policy from time to time. We will post the updated version here with a new "Last updated" date.
We may also update plan limits, trial terms, retention periods, and operational policies from time to time. The current version published in the Service or on our website governs ongoing use, subject to applicable law.
